PTA Reports Due Dates and Deadlines

Following is the schedule for submitting financial reports for your PTA Unit. If you have any concerns or questions, please contact us using the Treasure Contact Form

Officer/Board Rosters

All units should list their new officer rosters to the State PTA using PTAEZ as soon after their election as possible; these should be reported before the start of the school year of their terms at the latest. While PTAEZ does have a subscription accounting services, the officer contact listing is a free section of the service. 

The State/Peralta PTAs should have notified presidents of their access along with a password to login (email addresses are user names). If the current or new presidents do not have this, please let me know at Webmaster@BerkeleyPTA.org and I will inform the powers-that-be.

Membership Approved Budget

Membership/Per Caps - First Due Date

Membership Dues (Per Caps) – need at least 30 members to qualify for "Ready Set Remit" award. Please use the Berkeley PTA Council Remittance Form when reporting membership and sending payment.

Membership/Per Caps Deadline

First required remittance of membership dues (per caps) - must remit for at least 15 members to remain in good standing. Please use the Berkeley PTA Council Remitance Form when reporting membership.

IRS / California FTB / Attorney General Filings

IRS Forms 990EZ or 990 due to the IRS for PTAs grossing over $50,000 the previous fiscal year. IRS Form 990-N must be filed electronically by PTAs grossing under $50,000 the previous fiscal year. Check the IRS Non-Profit site for more details.

FTB Form 199 due to the FTB (State of California) for PTAs grossing over $25,000 the previous fiscal year. FTB Form 199-N must be filed electronically be PTAs grossing under $25,000 the previous fiscal year.  This is a new requirement which began in 2011.  There is more information on the California Francise Tax Board's Non-Profit pages.

Attorney General RRF-1 reports are now required by all PTA units. This form is required to maintain registration on the Attorney General's Registry of Charitable Trusts. More information and forms can be found on the Attorney General's Charities website.

You must load copies of your filings into PTAEZ or send them to the Council Treasurer.

Insurance Premium Deadline

Insurance Premiums due to remain in good standing and retain PTA charter. Premium for 2020-2021 is $258 per PTA Unit. A late fee of $25 will be added for any premiums received after this date. Use the Berkeley Council Remittance form to pay the premium through the Council Treasurer.

Workers Compensation Report Due

New process for Workers Comp reporting was instituted by the State PTA in late 2020:

Each year, every PTA must complete a WorkersComp Report. This form needs to be filled in even if your PTA has not paid anyone.
 
The deadline for submitting the form is Sunday, January 31, 2022.

Audit Report  for the period July 1 - December 31, 2021 due to Treasurer. Please use the Audit Checklist as a guide and required as part of the documentation due to the Treasurer.

Annual Historian's Report

While it is the PTA fundraising efforts which often get the biggest share of attention, it is the hours donated to our school communities by our awesome members that is our true power. The annual Historians Report is where we document our efforts and show how big our contributions are beyond the money. The linked form is how the State PTA keeps track of these efforts.

Providing this information is key for a number of reasons:

  • Shows the commitment of our members to our schools by the hours donated to our community.
  • By documenting our efforts we can clearly show other stakeholders how much our PTAs impact the schools.
  • Gives us a chance to make our arguments less monitary and more on values in our advocacy.
  • Tells our story in the full context of what we do.

In the past, the form also provided a space for highlighting activities/accomplishments of our PTAs. If you want to recognize an event/accomplishment from the last year, feel free to provide a brief write-up to share it.
